OUR Artificial Intelligence POLICY

Our Approach to AI in Doctor Dash

As artificial intelligence becomes increasingly embedded in clinical and operational workflows, Own Health recognizes that our partners have a responsibility to understand how AI is used within the tools they deploy. This statement is intended to provide transparency around our use of AI in Doctor Dash, our clinical decision support platform, and to articulate the principles that guide our approach.

How We Use AI

Doctor Dash leverages enterprise-grade foundation models, including Google's Gemini, for specific, well-defined functions such as clinical scribing and document review. These capabilities are designed to reduce administrative burden on care teams and improve the accuracy and timeliness of clinical documentation.

All AI processing occurs within a secure, enterprise cloud environment on Google Cloud Platform (GCP), governed by a Business Associate Agreement (BAA) with Google. Models are used in a stateless manner: no protected health information (PHI) is retained between sessions, and no patient data is used to train or fine-tune any model.

Data Residency and Privacy Compliance

In alignment with PHIPA requirements, all data is stored and processed exclusively on Ontario and Canadian-based servers. Own Health operates as an agent of our partner organizations. Any use of clinical data for AI training purposes would constitute a serious violation of our data sharing agreements, a standard we hold ourselves to without exception.

Patient data is never loaded into AI systems for training or research purposes. Any future research activity involving clinical data would require formal ethics board review and explicit patient consent, consistent with applicable regulatory requirements.

Partner Configurability

We recognize that AI governance standards vary across organizations and are continuing to evolve. Doctor Dash is designed to be configurable: any AI-powered function can be disabled at the instance level to align with a partner organization's internal policies. We are committed to adapting our platform governance to meet the requirements of the healthcare organizations we work with.

Our Commitment

Responsible AI in healthcare is not a checkbox, it is an ongoing practice. Own Health is committed to transparency with our partners, rigorous data stewardship, and building AI capabilities that augment clinical care without compromising patient privacy or institutional trust.

We welcome questions from IT, security, and compliance teams at any time.
